We are a small business operating in the beautiful landscape of North Devon. Having worked in the stone industry for over 20 years my wife and I decided that a change was needed and decided in 2010 to up sticks and move to North Devon, and we love it here.

Our various management service packages can be tailored to your requirements and is 100% transparent.

We give the option of basing our management fee on either a fixed percentage of the total service charge payable or a per property, per year fee.

 

Listed below are the details of our standard management package, however we know no two sites are the same and that your site may not require all these services. We therefore can offer a bespoke package tailored to your individual property.

Company secretarial services

Most residential management companies are limited, usually by purchase of a property you become a shareholder/member of the resident management company. As with any limited company an annual return has to be filed with Companies House together with any change of company particulars. As part of our management remit we will ensure full compliance of the Companies Act 2006.

Book keeping

Each property we manage will have their own individual bank account. All transactions in and out of this account will be recorded, itemised and reconciled with bank statements. Regular reports will be shared with Directors and will be presented in a clear and easy understandable fashion. At the end of the financial year all bank statements and records will be sent to your company Accountant for the annual accounts to be prepared.

Service charge collection

Once the service charge budget has been agreed, a service charge invoice will be sent out to each shareholder. We strongly recommend that all service charges monies are paid regularly (monthly or quarterly by bank transfer) to ensure that non-payment doesn’t jeopardise the smooth running of the property.

Directors meetings and AGMs

Directors have a legal responsibility to ensure that the property is being run correctly. We advise an Annual General Meeting as this gives shareholders the opportunity to have their say even if it is just to satisfy themselves that the building is getting the service it requires.

Maintenance

We will handle all day to day maintenance, ensuring only professional and competent contractors are used. With regards to regular maintenance like gardening and cleaning we will ensure that contractors are carrying our work as per specifications.

 

For larger projects that have been budgeted for within the service charge, external decoration of the development for example, we will happily manage right up to completion and signing off of the works.

 

As long as any work is paid from service charge funds we make no additional charge, however for any unbudgeted work where an extra charge to residents is called upon we will make an additional charge which will be agreed in advance.

Emergency out of hours service & insurance claim handling

Should anything go wrong, we provide an out of hours service where will engage with contractors to effectively address any emergency situations.  Once the emergency situation is contained, we will liaise with your insurance company and assessors if appropriate.

We do not take any commission or have any association with any insurer or contractor.

Regular site inspections

We will visit your property ourselves to ensure communal areas, gardens etc. are being kept to the standard you have agreed with us.

 

We do not stipulate a fixed number of either site inspections or meetings as we understand at certain times the need for more frequent meeting and inspections are required.

Health & Safety compliance

We will ensure property is compliant with H&S regulations such as fire alarm panel, heat sensor checks, emergency lighting and fire extinguishers are all checking in-line with regulations.

Where we may make an additional charge

As previously stated for any unbudgeted large expense where additional service charge funding is made we will charge an additional fee, this will be discussed and agreed with the management company.

 

All communication will be done by emails. All printing and postage costs will be chargeable.

Holiday home management provides property management and property maintenance services to holiday home owners in North Devon. Our range of services includes changeover cleaning, property maintenance, guest contact services and key holding service.

 

If you live a long distance away from your holiday let, Hunter Property Management can look after your property and take care of your guests. If you live close by we can also assist with a number of support services as follows:

Holiday changeovers

Our changeover service includes a full clean of the property after guests have vacated. We will deliver the service to suit your requirements as agreed with your booking agent.

Property maintenance

We offer both planned and reactive maintenance services including callouts and weekend coverage. Services include access to handyman services, gas, plumbing and electrics.

 

We can respond to calls from staying guests and address minor issues as and when they occur. Any works will only be undertaken with your prior consent and budgetary agreement.

 

Our reactive maintenance service includes:

 

• Initial call handling
• Troubleshooting
• Owner liaison
• Guest liaison
• Management of contractors and associated work
• Resolution & follow up

Key holding service

Whether you require our complete changeover and cleaning services or if you are just looking for a reputable local company to hold your property keys and to be available when required, we’re here to help. We can also assist with providing access to trades, and can accompany a tradesman if required.

Out of season property checks

Out of season we can provide scheduled property checks as and when required. Your holiday let insurance policy may require that your property is regularly checked during empty periods in order to validate any potential claim.

Short notice changeovers /cleaning

For key holding customers who are let down by an existing cleaner or property manager, we can assist at short notice if required.

Property maintenance

For Holiday Rentals, under our standard service level agreement we can respond to calls from staying guests and address minor issues as and when they occur. For work that will exceed a pre agreed amount, our team will contact you to discuss next steps before proceeding.

 

We offer a range of resolutions to numerous property maintenance issues, through our team of pre-vetted property maintenance contractors.

 

Our reactive maintenance service includes:

 

• Initial call handling
• Troubleshooting
• Owner liaison
• Guest liaison
• Management of contractors and associated work
• Resolution & follow up

 

We also offer planned maintenance services across our property portfolio. We provide property surveys, winter care maintenance packages and routine preventative maintenance services.
